From manual to automatic

As a one-man IT department for a construction trade union with 7,000 members and 30 colleagues, Ryan Skalko has his work cut out for him. Historically, one of his most daunting tasks was capturing and managing union event information—registrations, logistics, attendance, meals, confirmations, and more—and sharing it with coworkers.

Skalko previously relied on a manually intensive combination of email, custom code, phone calls, and Microsoft Excel spreadsheets. Then he discovered Adobe FormsCentral, a solution that lets the organization easily create online forms, effortlessly distribute them, and immediately see the results. “The customizable solution from Adobe FormsCentral streamlines our previously manual process and improves access to and accuracy of information,” says Skalko.

Easier creation, distribution, and data analysis

Using FormsCentral, Skalko designed professional, branded forms by customizing sample templates to support the trade union’s needs. He also took advantage of features such as skip logic to streamline form completion by taking the registrant only to the fields that are necessary based on the answers they provide. “The professional-looking templates initially sold us on Adobe FormsCentral,” Skalko says. “Then the price was very reasonable, especially for the features we were getting.”

The trade union embeds event registration forms on its website, making them available to members as well as non-members. For current members, the form links them to an email invitation system that sends each member a unique ID. Once members receive their invites, they can log in to register for events electronically. Today, data submitted in the forms is more complete, consistent, and accurate than it was in the past, eliminating the cut-and-paste method of spreadsheets. Event and banquet managers can log in to online tables or charts or view the data in spreadsheets offline to see who is confirmed to attend, streamlining event logistics, meals, and topics.

For a recent event, a trade union executive wanted to survey attendees about the event while it was in progress by asking questions about topics conferencegoers would like to see in the future. Within 30 minutes, Skalko created a survey on FormsCentral and projected it onto the 10-foot screens in the room.
